*By Marcel Fairbairn, founder of GearSource. 24 years buying, selling, and brokering pro-AV gear globally.*

Sell the gear that did not earn its shelf space this year and that you would not buy again today, and list it now while buyers are still planning next season. Hold what your spring bookings already need, what is hard to replace quickly, and anything you have not checked. The tax calendar matters, but it should shape when you buy and sell, not whether a piece of gear deserves a place in your fleet.

## Why does Q4 force the sell or hold question?

Because three clocks run at once. Your busy season is winding down, so you finally know which items went out and which sat. Your accountant wants year-end numbers. And the buyers who will need gear next spring are building budgets right now, often with year-end money they want to spend before the books close. That overlap is short, so the shop that decides early gets the better audience.

Demand is not the problem. The American Rental Association's [August forecast](https://www.rermag.com/news-analysis/headline-news/article/55400064/aras-latest-quarterly-forecast-projects-continuing-growth-through-2028) projects U.S. event rental revenue up 9.5 percent in 2026 and Canadian event rental up 6.1 percent. That segment is broader than pro AV, so treat it as direction rather than a price signal for any one product. It still says the people who buy used gear from you are busy, which is when good listings move.

## Which used pro AV categories should you list now?

Start with your own utilization report, not with a hunch. Pull every major item that went out rarely or not at all over the last two seasons, then ask one blunt question of each line: if this were not already on the shelf, would you buy it today at today's price? A no is your sell list. Sentiment and sunk cost are not fleet strategy.

Some patterns repeat across most shops:

- Orphan quantities: odd counts of a fixture or speaker model too small to make a whole package, but useful to a shop that already runs that model.
- Superseded consoles and processors you kept as spares after moving the main fleet to a newer platform.
- Gear that needs a different spec than your clients now ask for, such as older video formats or fixtures your designers stopped specifying.
- Duplicate backups. One spare is insurance. Three spares of the same item is inventory doing nothing.

Buyers of used gear are often matching a model they already own, so complete, consistent lots with cases, cables and accessories tend to be easier to sell than scattered single units. Group what you can before you list, and price the lot as a working package rather than a pile of parts.

## What should you hold through winter?

Hold anything your confirmed or likely spring work depends on. Selling a system in December and renting it back in April usually costs more than the shelf space it would have used. The same goes for anything with long lead times new. If replacing it would take months or force a platform change across your fleet, the idle months are the price of being ready.

Also hold, for now, anything you have not inspected. An untested item listed in a hurry tends to sell slowly and invite disputes. If the shop is quiet in January, that is the time to test, repair and photograph it, then list it once you can describe it honestly. A short delay usually beats a rushed, vague listing.

## How does inspection and the GEARantee affect what you get?

On GearSource, sales completed through the marketplace are covered by the [Buyer GEARantee](https://gearsource.com/p/gearantee). Per the [claims policy](https://gearsource.com/p/claims-policy), sellers must give buyers at least two business days after delivery to inspect what they received, and funds are not released to the seller until delivery is confirmed. Sales handled outside the marketplace are not covered.

That inspection window is why your own prep shows up in the price. A buyer who knows they can check the gear on arrival is more willing to pay a fair number, but only if the listing matches what shows up. Describe condition, hours or age, voltage, what is included and what is not, and every known defect. Accurate listings sell more smoothly and come back less often.

## How does year-end timing change the buying side?

In the United States, timing turns on when equipment is placed in service. The IRS says the One Big Beautiful Bill made the [100 percent additional first year depreciation deduction](https://www.irs.gov/newsroom/treasury-irs-issue-guidance-on-the-additional-first-year-depreciation-deduction-amended-as-part-of-the-one-big-beautiful-bill) permanent for eligible property acquired after January 19, 2025. IRS [Publication 946](https://www.irs.gov/pub/irs-pdf/p946.pdf) lists a Section 179 limit of $2,560,000 for tax years beginning in 2026, reduced once qualifying purchases pass $4,090,000, and tied to business income.

In Canada, businesses generally depreciate equipment through capital cost allowance rather than writing it off in one year, and recent federal measures have accelerated first-year write-offs for some property. Which class your gear falls into and which incentives apply depends on what it is and when it becomes available for use, so talk to your accountant before you buy or sell.

Selling has a tax side too. Gear you have already written down can produce depreciation recapture when it sells, and how that plays out depends on your jurisdiction, your classes and your year. The practical move is to bring your accountant both lists, what you plan to sell and what you plan to buy, before December, not after.

Small Print... This article is general information, not tax, legal or accounting advice. Rules, limits and eligibility depend on your business, your jurisdiction and your specific purchases, and they change. Talk to a qualified tax professional before you time a sale or purchase around a deduction or a year-end date.

## What should your Q4 inventory review look like?

1. Export utilization for every major item over the last two seasons and mark anything that rarely went out.
2. Apply the buy it again test to each marked item and split the result into sell now, hold, and inspect first.
3. Cross-check the hold list against confirmed and likely spring work.
4. Group sell items into complete, cased lots and write honest condition notes with current photos.
5. Share both lists with your accountant before December so purchase and sale timing fit your year.

Clearing idle fleet before year end turns shelf space into budget for the gear your clients actually ask for. When your sell list is ready, [list it on GearSource](https://gearsource.com/) so buyers planning next season can find it.

## Frequently asked questions

### How do I decide whether to sell or hold a piece of rental gear?

Ask whether you would buy it again today at today's price, then check how often it went out over the last two seasons. Low use plus a no means sell. Hold items your spring work needs, items that are slow to replace, and anything you have not inspected yet. Utilization data beats memory for this decision.

### What does the GearSource Buyer GEARantee cover?

It covers sales completed through the GearSource marketplace. Sellers must give buyers at least two business days after delivery to inspect the items, and funds are not released to the seller until delivery is confirmed. Transactions handled outside the marketplace are not protected. Individual sellers may offer return terms beyond that minimum.

### Is there a U.S. tax reason to buy equipment before year end?

Possibly. The IRS says 100 percent bonus depreciation is now permanent for eligible property acquired after January 19, 2025, and Section 179 has a $2,560,000 limit for tax years beginning in 2026. Both generally depend on when property is placed in service. Whether either helps you depends on your situation, so ask a tax professional.

### How does Canada treat rental equipment purchases?

Canadian businesses generally depreciate equipment through capital cost allowance, spreading the deduction over several years. Recent federal measures have accelerated first-year write-offs for some property, and timing usually turns on when the equipment becomes available for use. Which class and incentives apply to your gear depends on your situation, so talk to your accountant before year end.

### Should I list untested gear to sell it faster?

Usually not. Buyers on GearSource get an inspection window after delivery, so gear that does not match its listing can lead to disputes and returns. Test it, fix what is worth fixing, photograph it, and describe condition, age, voltage, inclusions and defects plainly. An honest listing a few weeks later tends to beat a vague one today.
